VA Clinical Video Into the Home - Patient Tips for Success

  

Before Signing In and Placing the Call:

  1. Have the videoconferencing program downloaded/installed on your computer no later than the day before the scheduled Video Visit, and place it in a prominent place (e.g., desktop icon, quick launch menu) for easy access on the day
  2. Remember your agreed 10-digit phone number/access code to confirm your Video Visit and retrieve you user name, your password, and your VA Provider’s address
  3. Remove/Unplug any peripheral Internet device (e.g., magic Jack device for Internet telephone)
  4. Close any computer programs not in use (the Web cam may need the processor’s full attention/full power)
  5. Optimize camera angle
  6. Optimize room lighting, minimize glare
  7. Optimize privacy and therapeutic environment for this clinical appointment with your VA Provider
  8. Maximize Internet speed by ensuring other occupants (kids, roommates, et al) are not simultaneously downloading, gaming, or otherwise using part of your Internet service
  9. Re-boot computer if you have recently run other audio programs on your computer (the previous audio program may block your audio for VA Video Visit)
  10. If you plan to use a secondary camera (for close-ups, wound care, etc) have that camera attached (cabled) to your computer before launching the videoconferencing program
  11. If the secondary camera has its own built-in microphone, make sure it is muted to not interfere with your computer’s microphone

When Signing In and Placing the Call:

  1. Be very careful when signing in to the videoconferencing program:

    1. type your VA provided username EXACTLY as provided (username will change for each Video Visit) in the Visit Confirmation screen
    2. type your VA provided password EXACTLY as provided (password will change for each Video Visit) in the Visit Confirmation screen
  2. Be very careful when placing the call to your VA Provider

    1. type in your VA provided VA Provider's Address EXACTLY as provided to you in the Visit Confirmation screen (Be Aware: if you initially miss-type your VA Provider’s Address on your first attempt, the software’s Auto-Fill feature will try to ‘help’ you by auto-filling as you begin typing your second attempt, repeating your typo; for any second attempts you will need to overwrite the erroneous Auto-Fill address with your VA Provider’s Address EXACTLY as it was provided to you in the Visit Confirmation screen.)
  3. Make sure your computer’s microphone is ‘on’ and not ‘muted’
  4. Keep your VA provider’s contact telephone number handy (if needed)

When Signing Out and Ending the Call:

  1. Remember to sign-off after your Video Visit has completed so that the Video Visit service can be available for the next Veteran
  2. After sign-off, delete your current VA Video Visit email message (you will receive a new email for any subsequent visits and do not want to confuse the 'new' email with the 'old' email from the VA)
